Where can this be distinguished? | In Ason, all employees of a company are calculated continuously; there's no separate calculation run per group, and the payrun period is closed for everyone together. Payout, however, happens per employee: with a positive payout balance, one, several, or all employees can be selected and paid at any time - so, for example, administration and production can be paid at different times with their own payment files. To distinguish and evaluate by group, cost centers are used (see "Where is the cost center recorded?") |

| Where is the function/job title recorded? | The function is recorded as "Job title" (free text, the profession actually performed in the company) in the event "Enter statistical data" resp. "Change statistical data". This requires the statistical report to be switched on for the company (event "Configure ELM transmissions"). When the function changes, the new job title is recorded starting from the desired month |
| Where is the department recorded? | There's currently no dedicated department master-data field. The organizational structure is mapped via cost centers instead (see "Where is the cost center recorded?"). | How are years of service calculated or recorded in case of a business transfer (UBU) or a rehire? | Ason doesn't currently track years of service automatically. What counts are the employee's entry and withdrawal dates; on a rehire, the new entry date applies. Creditable prior service (e.g. on a business transfer/UBU) can't currently be recorded separately. A seniority allowance is recorded as an amount in the event "Enter seniority allowance" (provided the wage type is activated in the wage type master). Automatic tracking of years of service is in preparation |
| Where is it defined how a year of service is calculated? (There are different methods) | Since years of service aren't currently calculated automatically, there's also no configurable calculation method yet. | Where is the pension fund annual salary recorded? (Can the calculation be automated, e.g. including bonus entitlement?) | Occupational-benefits data is maintained in the event "Manage occupational benefits data". Automatic calculation is currently implemented generically for companies with an LGAV as well as, with its own configuration, for staff leasing. For "normal" companies, currently only a fixed entry is possible, i.e. BVG contributions are recorded as fixed amounts. An automatic calculation including bonus entitlement isn't currently planned for these companies |

There, the withholding-tax code (tariff) is selected; the choice depends on category and canton. The canton is pre-filled automatically (canton of residence, or the workplace's canton if resident abroad) and can be adjusted. Ason also shows a "Withholding-tax code suggestion", derived from civil status, children, partner details, residence category and denomination. The tariff isn't set automatically: the suggestion is taken over resp. the code is confirmed in the "Withholding-tax code" field |
| Where can additional income/employment be recorded? | Also in the event "Enter/change withholding tax-relevant data". Answer the question "Are there additional gainful activities or replacement income?" with Yes, then record the level of employment at the other employers. | How/where can a weekly resident be recorded? | In the event "Enter/change withholding tax-relevant data". For cross-border commuters, answer "Is the employee a cross-border commuter?" with Yes, and under "Type of stay" choose "With weekly residence" (a person taxed at source without residence in Switzerland, but with a weekly-residence address in Switzerland). The weekly-residence address is then recorded. A weekly residence outside this cross-border-commuter context isn't currently mapped separately |
| Where can QST flat rates be recorded for special cases? | Freely definable flat rates don't exist. For special cases, in the event "Enter/change withholding tax-relevant data", under category "Predefined categories" one of the predefined codes is chosen: HEN/HEY (administration/board fees paid to persons resident abroad, without/with church tax), MEN/MEY (income from employee participations paid to persons resident abroad, without/with church tax), SFN (special agreement with France) as well as NON/NOY (correction cases). If an individually approved tariff code from the cantonal tax administration exists, the corresponding question ("Is there a specially approved withholding-tax tariff code?") is answered Yes in the same event, and the approved code is recorded |
| Where is the BVG contribution recorded? Or is a pension fund interface always assumed? | In the event "Manage occupational benefits data", the pension provider, the insurance code and the monthly BVG contribution of employee and employer are recorded. Ason doesn't assume a pension-fund interface: contributions are recorded per the pension certificate resp. pension fund statement. For companies with an LGAV as well as in staff leasing (own configuration), the calculation happens automatically. For changes affecting the pension fund (e.g. wage, address, civil status), Ason creates tasks so the notification to the pension fund isn't forgotten. One-time correction amounts are recorded via the events "Record one-time pension fund correction contribution" (employee) resp. "Record one-time pension fund correction employer contribution", where activated for the company |
| Where is the cost center recorded? Some companies also record more than one cost center per employee - how is that possible? | First, at company level in the event "Configure financial accounting", the configuration is switched on, and then the cost center master is filled under Company/Cost center master. On the employee, the cost center is assigned in the event "Financial accounting Enter posting data"; changes happen in the event "Financial accounting Change posting data". Currently exactly one cost center can be recorded per employee. Splitting an employee across several cost centers (e.g. percentage-based) isn't possible - please get in touch with Ason if needed |
| Where are flat-rate expenses recorded, e.g.? | First the desired wage type is activated in the wage type master. The flat amount is then recorded on the employee. Available are Flat-rate expenses expatriates, Other flat-rate expenses, as well as Flat-rate expenses apprentices (training allowance) |
| Where is the company's currently valid expense policy recorded, for showing it on the salary certificate? | In the event "Configure payroll statements", at company and at employee level. This rate is fixed in Ason and currently can't be adjusted individually per company. The hours to be paid out are recorded per employee in the event "Enter payout of flexible hours" and appear with the wage type "Payout of flexi hours" on the payslip |
| Can a second bank account be recorded per employee, with both active and, e.g., controlled via wage types? | Not currently. At any point in time, exactly one payment connection is active per employee (or "Pay out in cash"); a change happens in the event "Change payment details" and applies from the chosen date.
